AI Dashboard Builder: KPIs, charts and admin panels from a prompt

Describe the numbers your team needs. Totalum builds the dashboard, the data import and the reports.

Quick answer · Updated November 2026

An AI dashboard builder creates the screens where a team watches its numbers: KPIs, charts, tables and filters. Totalum builds dashboards and admin panels on the app's own SQL database, with scheduled imports, role-based views and emailed reports. It is not a data-warehouse BI tool. Start free; custom domains and code export come with paid plans from $29.

Screens (5)

  1. 1

KPI overview: revenue, orders and average order value this week against last week.

  2. 2

Weekly charts: revenue and orders by week, with a region filter.

  3. 3

Late shipments: orders past their promised date, sortable, with a CSV download.

  4. 4

Import log: every daily import, its row count and any rows it rejected, with the reason.

  5. 5

Users and filters: each manager sees their own region by default; admins see all.

Built-in integrations used

  • Scheduled jobs: pick up and import the day's CSV every morning, then refresh the weekly totals.

  • File storage: the uploaded CSV files and an archive of past imports.

  • AI: a short written summary of the week ("revenue up 8% on last week, driven by the North region").

  • Email: the weekly report to each manager, with the summary and the key numbers.

Build it in 3 steps

  1. 1

    Paste the prompt.

Use the example, or say where the data comes from, which numbers matter, and who should see which part.

  2. 2

    Refine with follow-up prompts.

    For example:

    • "Reject any imported row with a missing order number and list those rows in the import log."
    • "Add a top 10 products chart by revenue for the selected week, with a toggle for units sold."
    • "Every Monday at 8:00, email each manager their region's numbers and the AI summary."
  3. 3

    Publish and share.

Publish to a Totalum address, or put it on dashboard.yourcompany.com on a paid plan. Invite your team and assign each person a role.

Numbers on your own data.

The dashboard reads from the project's own SQL database, which holds the orders, products and imports. Every chart and KPI is a query on that data, so you can ask for a new metric ("returns as a percentage of orders, by product category") and get a working chart, not a request in someone's queue.

Imports that run every day.

Most small-team dashboards start from a CSV export. A scheduled job picks up the day's file, checks it, imports the good rows and logs the bad ones. When the source changes its columns, tell the agent and it updates the import.

Different people, different numbers.

Sign-in and roles come with the app. A regional manager sees their region; finance sees revenue and margins; an analyst can download the raw tables. The rules live in the queries, so a filter can't be removed to see someone else's data.

A report that writes itself.

The built-in AI can turn the week's figures into a few plain sentences, and email delivery sends them with the key numbers to each manager on the schedule you set. People who never open the dashboard still read the result.

Note: If your data lives in a warehouse and you need governed BI across many sources, Data Studio and Databricks AI/BI are the right category, and Retool connects to almost any database. Totalum fits when the dashboard is part of an app: the data model, the imports, the admin screens and the reports in one project you own.

Frequently asked questions

Can it read my existing data?

Yes, in two common ways. You can import files such as CSV exports, once or on a daily schedule, into the project's own database. Or the app can call an API you already have, with the keys stored as project secrets. It is not a connector hub for data warehouses.

Can different roles see different numbers?

Yes. Sign-in and roles are built in, and the rules sit in the app's queries. For example, managers see only their region, finance sees margins and an admin sees everything. You describe the rules in plain words and the agent writes them.

Can it email a weekly report?

Yes. Scheduled jobs and email delivery are built in. The dashboard can send each person their own numbers on the day and time you choose, with an AI-written summary of what changed and, if you want, a PDF attached.

Is it a BI tool?

Not in the warehouse sense. Totalum builds dashboards and admin panels inside an app, on that app's own SQL database. If you need governed BI across a data warehouse, look at tools like Data Studio or Databricks AI/BI. Many teams use both.

Can I build an admin panel, not just charts?

Yes. The same project can include tables your team edits, approval buttons, bulk actions and CSV downloads, next to the charts. Every Totalum project also comes with a panel to view and edit the database records directly.

How much data can it hold?

Database records are unlimited and billed on demand in credits from your plan. Storage and queries are metered at published rates on the pricing page, so a dashboard with a few years of orders runs on the same plan as a small one, with usage reflected in credits.
